Silver Chase HOA Annual Meeting Minutes

St. Bernard’s Catholic Church Outdoor Pavilion
Call to order: Bob Muir 6:00pm, Proof of Meeting Notice, 2023 Annual Meeting Minutes passed out for review and packets provided by April Hubler that contained 3rdamendment to covenants.
Introduction: Board Members, homeowners present at meeting
Financial Review: Janet reviewed report. Brought up spend vs. dues, $49,000 by end of month of May, again net negative over fiscal year last year. Landmark fees have increased and insurance has increased over last year.
Dues increase was proposed and approved. (Standard 5%, approximately $285/yr)
Nomination of directors: Emily McFatridge requested to step down, Bob Muir, Janet Dickason, and Amber Johnson volunteered to remain in their current positions. Bob nominated Digi Graham for open Vice President position, Jim Lewis seconded, voting was unanimous. Amy Tuggle moved to approve full board. Approved by multiple people.
Committees:
1. Yard of Month: Michelle Bolden, Mary Birute, and open position. Jim Lewis volunteered, approved. He was added to the text group and provided voting sheets and information.
2. Architectural Committee: Erick Vertucci
-Solar panel language was approved, please add information to website
-Erick requested 2 more people to volunteer for the committee, Brian Paschal and Brad Jenkins volunteered, approved
3. Social Committee: Adrianne Lakin
4. Welcome Committee: Angie Muir, Christy Barnes, Digi Graham
5. Holiday Décor Committee: Bob suggested putting a group together with Angie
Other Old Business: Directory updates and additions made (google sheets application is used, document is password protected), Landscaping improvements at Louisville entrance, thank you to Debbie Boudreaux and Melinda Stanford
New Business:
Amber: Portal for payment, many residents are interested. Amber to get with April at Collins & Associates on details.
Bob: Passage of short-term rental language addendum, language review
Emily: Will continue to book dumpster days, coordinate yard sales and street closure
Amber: Block Party date: October 27th, Sunday proposed and approved. Obstacle course to be booked and street closure paperwork to be completed
Erick: Flock cameras, approximately $50 per household per year, plus hardware costs. We will run a survey of Silver Chase residents to determine interest in bringing in. Alex Pascal volunteered to look into information.
Bob: Continue to offer road clearing during ice/snow? everyone in attendance approved
Erick: Add additional language to covenants in regards to yard upkeep, vacant lot repair language, maintenance in general -postponed
Jim Lewis: Speed bump study, do we want to do it again? Phil can request….
Multiple residents brought up middle school drop offs, problematic traffic at entrances during school time. Bob to talk to middle school principal, Alex to speak with someone above principal level, maybe administration?

We are looking into doing another fun Silver Chase Block Party for 2025! The social committee and board will be making plans and we are excited to have this fun event back in the community. We are considering Sunday, October 26th.
If you have ideas or items to donate, please reach out to a board member.

Silver Chase Ladies Fellowship nights are coming back. The social committee will be putting something together soon.

Dumpster Days: The City of Tulsa provides neighborhood dumpsters twice per year free of charge to area communities. We will have updates here with either Spring or Fall dates.
